The letter of transmittal is a communication from the writer of a report to its recipient.
5 Functions of letter of transmittal
- The letter typically opens with a reference to the occasion of the report or an explanation of why the report is being submitted There may be a reference to a contract or other authorization of the work being reported on.
- The letter should state the title of the report being transmitted.
- The second paragraph of the letter of transmittal should explain the purpose and scope of the report ( unless the opening paragraph has already done so). Beyond this, it should be devoted to any comments about the report that the writer feels should be made to the addressee.
- If the writer has receive assistance in carrying out the work with which his report is concerned and feel that this assistance should be acknowledged, the letter of transmittal is a place in which he can name and thank those who helped him.
- The letter close with a statement expressing hope that the report is satisfactory.
